How does GearSense use AI with HubSpot?
GearSense combines hands-on HubSpot implementation with AI configured around your business. It helps your team identify useful improvements, request supported changes and review the proposed work before approving it.
The starting point is the process: who owns each step, which data matters, what should happen and which exceptions need attention. Those rules give an AI request a useful context. The supported capabilities, access and usage are agreed for your setup.
What does the request-to-approval process look like?
| Step | What happens | Your role |
|---|---|---|
| Ask | Describe the business outcome or improvement you need. | Explain the goal and any constraints. |
| Review | GearSense uses the agreed business context to help form a recommendation. | Check the proposed rules, affected process and assumptions. |
| Approve | Supported changes proceed with your approval. | Decide what should be built and clarify anything unresolved. |
| Verify | Check the result against the intended behaviour and agree the rollout. | Confirm it is ready for the people who will use it. |
Approval is not a substitute for a clear specification or testing. We agree the review and delivery process for your implementation, including work that needs specialist involvement.
A practical example: better demo-request follow-up
A team might ask: “Make sure our demo requests receive a follow-up.” Before building, the process needs rules: keep an existing contact owner, decide how to assign an unowned enquiry, define the next action and agree when a manager should be notified.
The value is in turning that intention into a supported, reviewable change in HubSpot. Your actual implementation depends on the agreed capabilities, available data and software subscriptions.
The animation on our homepage illustrates this flow using sample portal data. It is not a recording from a customer account or evidence of a measured customer result.
What needs to be ready before using AI in HubSpot?
- A defined process: the outcome, owners, rules and exceptions.
- Useful data: consistent definitions and the information needed for the agreed task.
- Appropriate access: the systems and capabilities needed for the chosen setup.
- A review process: who checks recommendations, approves changes and verifies the result.
- A clear scope: supported actions, included usage and when work needs additional implementation.
For a new HubSpot implementation, we design the foundation first. For an existing portal, we review the relevant setup and agree what needs to change. AI does not make unclear process rules or unreliable data disappear.
Does GearSense replace HubSpot or include every AI capability?
No. GearSense works with your HubSpot portal; HubSpot licences and required third-party software remain separate unless your proposal explicitly includes them. The available actions depend on the agreed setup and the capabilities of the connected systems.
During scoping, we confirm the systems and software providers the proposed setup uses, the access it needs and how data is handled. Your team reviews these requirements before connecting the environment.
What does it cost, and who does the ongoing work?
GearSense Access starts at €490 per month per HubSpot portal for teams working independently with the supported capabilities. Your plan confirms usage, updates and technical support. Initial implementation is scoped separately.
GearSense Managed starts at €1,490 per month per portal and includes Access, a monthly strategy review and agreed delivery capacity from our team. Additional paid usage or delivery requires your approval.
Bring one real process to the conversation. We will establish what needs to work, what the proposed setup supports and what your team would review before moving ahead. GearSense works with new and existing HubSpot users across Europe, the UK and the US.
