When does an existing HubSpot portal need a review?
A review is useful when your team cannot rely on the processes the portal is meant to support: leads have no clear next step, lifecycle stages mean different things to different teams, reporting raises more questions than it answers or integrations require repeated manual fixes.
The objective is to understand the causes and dependencies before changing the system. It is not automatically a full rebuild. A focused correction may be a better first project.
What should a HubSpot audit cover?
| Area | Questions to resolve |
|---|---|
| Business process | What should happen, who owns each step and where does work stop? |
| CRM structure | Do properties, lifecycle stages and pipelines reflect the way teams work? |
| Data | Which fields are required, where does the data come from and what quality issues affect the process? |
| Automation | Are triggers, branches, ownership rules and exceptions understood and tested? |
| Reporting | Do the reports answer agreed business questions using consistent definitions? |
| Integrations | Which system owns each field, how is it synchronised and what happens when a sync fails? |
| Team use | Are responsibilities, permissions, documentation and training appropriate for the agreed work? |
These are scoping areas. Your proposal identifies which parts of the portal will be reviewed; every audit does not automatically include every system or record.
What do you get from the review?
We bring together portal findings and the business context your team provides. Together, we prioritise the opportunities, define a first project and agree what success should look like.
The next implementation plan identifies the work, dependencies, deliverables and fixed quote. If paid discovery is needed first, its fee and any implementation credit are agreed upfront. We do not publish a universal standalone audit price because the scope varies.
How does the audit become a working improvement?
- Agree the priority. Choose the problem that the first project will address.
- Define the behaviour. Document rules, responsibilities and exceptions before configuring them.
- Build and verify. Implement the agreed changes and check them against the requirements.
- Review and launch. Your team signs off, receives documentation and learns how to use the result.
- Agree ongoing support. Choose independent use with Access or agreed delivery capacity with Managed.
Where does AI fit?
GearSense uses your business context to help identify useful improvements and support changes in HubSpot. Supported capabilities and access are agreed for your setup, and you approve the proposed work. AI does not remove the need for clear process rules, reliable data or review.
For example, a lead follow-up review can reveal that ownership is assigned but no next action is checked. The useful outcome is an agreed and verified process, rather than simply adding another automation.
What if you have not implemented HubSpot yet?
You do not need an existing portal to work with GearSense. For a new implementation, we start by mapping your goals, processes, data and tools, then design the foundation. The initial review is of your business requirements rather than an existing HubSpot configuration.
We support businesses across Europe, the United Kingdom and the United States. Start with the process you need to improve, the systems involved and the people who own the outcome.
