What does GearSense cost?
| Service | Starting price | What it covers |
|---|---|---|
| Implementation | €2,500 one time | One agreed business process in one portal using native HubSpot capabilities: assessment, design, build, verification, documentation and training. |
| GearSense Access | €490/month per portal | Independent use of GearSense with supported capabilities, agreed usage, product updates and technical support within the plan. |
| GearSense Managed | €1,490/month per portal | Access plus monthly strategy and priorities review, an agreed delivery plan and monthly capacity for implementation, verification and documentation. |
Choose Access or Managed; Managed already includes Access. Implementation, applicable taxes, HubSpot licences and third-party software are separate. Additional paid capacity requires your approval.
What is included in the €2,500 starting implementation?
The starting implementation is a focused deployment around one agreed business process in one HubSpot portal. It includes assessment, process design, configuration, verification, documentation and training using native HubSpot capabilities.
Broader rebuilds, substantial data cleanup, migrations and custom integrations are quoted separately. The final proposal defines what will be delivered and how you will accept it before work begins.
What makes the final quote higher?
- Processes: the number of workflows, teams, handoffs and exceptions that need to be covered.
- Data: source systems, record quality, mapping and migration requirements.
- Integrations: which systems must connect, what information must move and who owns each data flow.
- Governance: multiple portals, permissions, approval requirements and rollout responsibilities.
- Ongoing work: expected GearSense usage, delivery capacity and the level of hands-on support.
User count helps explain how a team operates, but GearSense starting plans are priced per portal. A large user base does not make every project the same size, and a small business can still have complex requirements.
How should you budget for the first year?
Separate the implementation fee from the recurring plan and software costs. As a simple budgeting illustration, €2,500 implementation plus 12 months of Access at €490 totals €8,380. The same implementation plus 12 months of Managed at €1,490 totals €20,380.
These are arithmetic examples using starting prices, not binding quotes or a statement that a 12-month contract is required. Taxes, HubSpot licences, third-party software and separately scoped work are excluded. Your final scope and terms may differ.
Does Managed mean unlimited consultancy and builds?
No. Managed includes the delivery capacity and priorities agreed in your proposal. Larger projects and work outside that scope receive a separate quote before work begins. Access includes product support; implementation performed by our team is scoped separately.
Included usage and the process for adding capacity are agreed before your plan starts. We also agree what happens at the limit. Additional paid expansion requires your approval.
What should you compare in implementation proposals?
Compare the deliverables and responsibilities alongside the total price. Ask which processes are included, who prepares the data, which integrations are covered, how the work is tested, who signs it off and what documentation and training you receive.
Keep HubSpot subscription costs separate from delivery fees. Confirm whether any required HubSpot onboarding, credits or third-party tools are included; do not assume an agency quote replaces them.
GearSense scopes projects for teams starting with HubSpot and teams improving an existing portal across Europe, the UK and the US.
